Service Description

PolicyDoctor is a guided Family Continuity System that helps customers organize important household, financial, insurance, and estate-related information and documents, and provides permission-controlled access for trusted people.

The service is designed to improve organization so that trusted people can find critical information and documents when they are needed.

PolicyDoctor provides founder-led or guided setup supported by software. Customers provide the information and documents being organized. PolicyDoctor organizes information; it does not provide legal advice, financial advice, tax advice, insurance advice, estate-planning advice, or fiduciary services.

PolicyDoctor is a workflow and documentation platform. PolicyDoctor does not execute transfers, claims, beneficiary changes, legal documents, or account recovery on behalf of customers.

PolicyDoctor may offer setup assistance or onboarding support to help customers use the service.

No Financial, Legal, Insurance, Tax, Estate-Planning, or Fiduciary Advice

PolicyDoctor LLC does not provide financial, legal, tax, insurance, investment, estate-planning, or fiduciary advice.

Any informational prompts, reminders, educational notes, or guidance in the platform are general educational assistance based on publicly available information and are not personalized professional recommendations.

You are solely responsible for consulting qualified professionals regarding your legal, financial, tax, insurance, or estate-planning decisions.

No Guarantee of Outcomes; User Responsibility

PolicyDoctor is built to reduce friction and improve preparedness, but it does not and cannot guarantee the discovery of every account, asset, debt, obligation, contact, policy, record, or document.

Setup completion means the agreed customer-provided scope has been organized. PolicyDoctor does not guarantee that any particular institution, carrier, agency, or third party will accept, process, or honor any claim, transfer, or request.

You remain fully responsible for:

  • The accuracy, completeness, authority, and lawful submission of all uploaded information
  • Keeping uploaded documents current and legible
  • Following institution-specific, carrier-specific, and legal requirements
  • Responding to carrier, institution, and agency requests and deadlines
  • Having the authority to share information with a trusted person

PolicyDoctor does not act on your behalf with carriers, institutions, or agencies and does not submit claims, transfers, or legal documents for you.

Trusted-Person Access

PolicyDoctor provides permission-controlled access for trusted people designated by the account owner.

Trusted-person access is permission-controlled and may be changed or revoked by the owner at any time.

Trusted-person access does not create ownership, beneficiary status, fiduciary authority, power of attorney, or legal entitlement.

A trusted person's ability to view organized information does not confer any right to act on the owner's behalf with any institution, carrier, agency, or third party.

Notification System and Communication Limitations

PolicyDoctor may provide account, vault, trusted-person, and system notifications via email, SMS, or in-app messaging.

Delivery of communications depends on third-party networks and providers and may be delayed, filtered, interrupted, or not delivered.

You are responsible for maintaining accurate contact information and monitoring your account. Message and data rates may apply for SMS communications.

Security, Backup, and Availability

PolicyDoctor applies commercially reasonable security, access-control, backup, audit, and recovery measures intended to preserve customer information and support reliable access.

Recurring backups are maintained to reduce the risk that customer information is lost because of an isolated system issue.

The service may occasionally be unavailable because of maintenance, third-party provider failures, network interruptions, security events, or circumstances outside PolicyDoctor’s reasonable control.

Vault and Data Responsibility

You retain ownership of your uploaded content and account data. By using the service, you authorize PolicyDoctor to store, process, and transmit your information as needed to provide platform functionality.

You represent that you have the rights, permissions, and authority necessary to upload and manage all submitted documents and trusted-person information.

Users must not store raw passwords, seed phrases, private keys, recovery codes, or similar credentials in ordinary vault fields.

Agent, Partner, and Referral Disclaimer

Any insurance agents, brokers, affiliates, referral partners, financial advisors, attorneys, or other professionals who reference PolicyDoctor are independent parties and are not employees or legal agents of PolicyDoctor unless expressly stated in writing.

PolicyDoctor is not responsible for independent third-party statements, conduct, services, or recommendations.

Limitation of Liability

To the maximum extent permitted by law, PolicyDoctor LLC and its officers, owners, employees, contractors, and affiliates are not liable for any indirect, incidental, consequential, special, or punitive damages arising out of or related to your use of the service.

This includes, without limitation, damages related to claim delays, claim denials, lost benefits, lost data, service interruptions, missed discoveries of accounts or assets, or third-party system failures.

In all cases, PolicyDoctor’s total aggregate liability for any claim arising from or relating to the service is capped at the amount you paid to PolicyDoctor in the 12 months immediately preceding the event giving rise to the claim.

Subscription, Billing, and Payments

PolicyDoctor currently charges a $349 one-time setup fee, which includes the first year of service. After the included first year, the subscription renews automatically at $149 per year until canceled. PolicyDoctor does not offer a monthly plan.

Pricing is clearly disclosed at checkout or in a written offer.

Payments are processed through Stripe or another third-party payment processor. PolicyDoctor does not directly store full payment card details.

Refund eligibility, if any, will be governed by applicable law and any separate written refund terms expressly presented at purchase.

Renewal

The subscription renews annually at $149 per year unless the renewal amount is changed with legally required notice.

The first renewal occurs after the included first year. Renewal continues each year until canceled.

Cancellation must occur before the next renewal charge to avoid being charged for the upcoming year.

Account Closure, Cancellation, and Deletion

You may cancel renewal before the next billing date. Cancellation stops future renewal charges.

You may request account closure at any time. Account closure and eligible data deletion are governed by the Privacy Policy.

Trusted-person access may be revoked by the account owner at any time.

PolicyDoctor may suspend or terminate access to the platform at its discretion, including when necessary to protect platform integrity, enforce these Terms, investigate misuse, or comply with legal obligations.

General Legal Provisions

These Terms constitute the full agreement between you and PolicyDoctor regarding your use of the service.

If any provision is found unenforceable, the remaining provisions remain in full force and effect.

PolicyDoctor may update these Terms from time to time. Updated Terms become effective on the date stated in the revised Terms. Where required or appropriate, PolicyDoctor will provide notice of material changes through the service or by email.

Privacy

Your use of the service is also governed by the Privacy Policy, which explains how information is collected, used, and protected.
